What a USA invoice must show
- The word "Invoice" and a unique invoice number.
- Your business name, address and contact details.
- Your customer's name and billing address.
- The invoice date and the payment due date or terms (e.g. Net 30).
- A description of the goods or services, with quantity and price.
- Sales tax as a separate line, if you collect it.
- The total amount due and how to pay (bank transfer, card link, check).

When you must register
There is no federal VAT in the US. Sales tax is set by each state (and often counties and cities). You collect it where you have "nexus" in a state, through a physical presence or, since 2018, by passing that state's economic threshold (often $100,000 of sales a year).
Good to know
- There is no federal invoice format; the list above is what clients' accounts teams and the IRS expect to see in your records.
- Adding your EIN is optional, but larger clients often ask for it (with a W-9) before they pay.
- Keep invoices and records for at least 3 years (the IRS can ask for up to 7 in some cases).
How to make your invoice
